New to Document Automation?

What is document automation?

Document Automation (or “document assembly” as it is sometimes called) refers to the process of intelligently merging data entered via the keyboard or from a database into pre-set fields in a Word or PDF document or form.

How does it work?

Questions and fields are added to Word documents which are then saved as document automation templates. When a template is Run, the system asks questions and applies logic, and then merges the data into the completed document. Output is to Word and/or PDF, and answers to questions are saved for re-use.

How does it save money?

There are a number of benefits from document automation. Put simply, document automation helps you to create documents in a fraction of the time it would take to create them from scratch.

• Document templates are saved in a single location so are easier to find
• Professional looking documents improve client perception
• Faster document turnaround times improve customer service
• Maintain one set of master clauses for use in templates
• Reduced error/proofreading, since much of the document does not change
• Re-use knowledge since juniors run templates that were created by seniors
• Re-use answers from one template in other templates
• Re-use information captured in other systems in the office

How long does it take to learn?

That depends on how complex your templates will be, and whether or not you have any document automation experience. Most users can create a basic template which contains a few variables in less than half an hour. Simply open the Word document you want to turn into a template, highlight the first variable text, click on the Getting Started button in the XpressDox ribbon, and then choose the type of question you want to insert. Repeat for all variable text, then save the template and run it. It is that straightforward!

But for more sophisticated templates you’ll need more experience. And for really complex templates you might want to outsource the template creation to an experienced document automation consultant. (Compare your hourly rate with the rate the document automation consultants will charge for creating your templates for you.)

What does it cost?
